Booked a Japan Airport Transfer? Your Pre-Trip Checklist

· Updated

What to double-check after booking a Japan airport transfer: flight, hotel address, luggage, contact details and late-night surcharge. Central Tokyo from Haneda starts at ¥15,000 and from Narita at on request per car, tax included.

Booking is only the first step. When an airport transfer goes wrong, it is rarely the car; it is mismatched information: a changed flight, a different hotel, one extra traveller. A few minutes of checking before you leave avoids scrambling after you land. Here is a checklist.

1. Flight details

  • Flight number and arrival date: For connections, rebooked or overnight flights, go by your latest ticket.
  • Expected arrival time: Follow your airline's latest notice, and tell us early if it changes.
  • Terminal: Check your airline and the airport's announcements: Narita International Airport and Haneda Airport.

Airport pickup includes 90 minutes of free waiting, and we can meet you with a name sign. Immigration queues and baggage reclaim take time, and this buffer is there for that.

2. Hotel and destination

  • Use the hotel's official name and full address, ideally copied from your booking confirmation.
  • If a hotel has several branches with the same name, include the phone number or the address on the confirmation.
  • Need more than one drop-off? Tell us in advance and we'll arrange the stops, up to 3 per booking.

3. Passengers and luggage

Pricing is per vehicle, so passenger count does not change the fare, but each vehicle has seat and luggage limits:

Vehicle Seats Luggage pieces
ECO 5-seat sedan 5 4
Toyota Alphard 7 6
Toyota Hiace 10 9

Count again before you go: has anyone joined the trip, is there more luggage than planned, any strollers or ski equipment? Capacity is estimated for standard-sized luggage; if unsure, tell us directly.

4. Child seats

Child safety seats and booster seats are available, up to 3 child safety seats and 2 booster seats per booking. Check that the number and ages of children match your booking. For Japan's rules, see the National Police Agency, and ask our team about suitable seats.

5. Late-night and early-morning arrivals

A flat ¥4,000 surcharge applies from 22:00 to 06:00, regardless of vehicle. If a flight change moves your arrival into this window, the cost will differ from your original quote, so confirm with us before you travel. We operate 24 hours.

6. How to reach us

  • Make sure your phone works in Japan: roaming, a local SIM or an eSIM, switched on in advance.
  • If you cannot find your driver after landing, contact us first.

FAQ

What should I re-check after booking an airport transfer?
Check your flight number and arrival time, hotel name and address, passenger and luggage count, child seat needs, and that your phone works in Japan. Tell our team early if anything changes. All quotes and arrangements are confirmed by a real customer service agent.
Should I tell you if my flight is delayed?
Yes, we recommend it. Airport pickup includes 90 minutes of free waiting, and we can meet you with a name sign. If the delay is large, or your arrival moves into 22:00–06:00, let us know so we can confirm the arrangement. How delays beyond the free waiting time are handled is confirmed by customer service.
Do I pay more if my arrival moves to late at night?
A flat ¥4,000 surcharge applies between 22:00 and 06:00, regardless of vehicle. We operate 24 hours, so late-night and early-morning arrivals can be arranged.
Do I need to request child seats in advance?
Yes. Child safety seats and booster seats are available, up to 3 child safety seats and 2 booster seats per booking. Please state the quantity when booking and re-check it before you travel.
Does the price change with the number of passengers?
No. Private transfers are priced per vehicle; as long as you are within the seat and luggage capacity, the number of passengers does not change the fare. Tolls and parking are included, and pricing is the same across Tokyo.
